Fleet cost hides between the invoices

Fuel, maintenance, tyres, insurance and driver time are spread across suppliers and spreadsheets. Without a vehicle-level ledger, cost per kilometre is an estimate — and leakage is invisible.

  • Fuel spend is not reconciled to vehicles or trips.
  • Maintenance, tyres and repairs sit outside the ERP.
  • Cost per kilometre and vehicle utilisation are unknown.
  • Driver and vehicle assignments are manual.
  • Registration, insurance and compliance dates are missed.

What the module covers

  • Vehicle and asset master
  • Driver assignment
  • Trips and odometer records
  • Fuel cards, fuel claims and reconciliation
  • Maintenance and work orders
  • Tyres and consumables
  • Insurance, registration and renewals
  • GPS and telematics integration
  • Cost per km, utilisation and fleet dashboards

How it works

  1. Vehicle and driver setup
  2. Trip and odometer capture
  3. Fuel purchase and reconciliation
  4. Maintenance and tyre events
  5. Cost allocation
  6. Fleet and cost-per-km reporting

Built on a proven core

Finalytics ERP is our proprietary application layer on a proven ERPNext/Frappe core. We keep GL, inventory and standard financial reporting, then build the operating layer around the business. This is not vanilla ERPNext — it is a bespoke operating layer on a proven transactional core.

Compliance and controls

  • ZATCA and VAT-compliant fuel and maintenance invoices
  • Audit trail for fuel, maintenance and approvals
  • Controls for fuel-card and supplier reconciliation

Implementation

We start with a one-week audit, then scope the module around your contracts, data and reporting. Delivery is phased: configure, migrate, test, train and go live with a named senior lead.

Delivered globally, with on-site and remote options depending on location.

Proof

The fleet and fuel layer is part of Finalytics ERP, which is in active production use. It covers vehicles, fuel cards, maintenance and cost per kilometre in live operations.

Questions

Which GPS/telematics providers do you integrate with?

We integrate with the provider used by the fleet. The integration is scoped around the data available — location, trips, odometer and driver behaviour.

Can it reconcile fuel cards?

Yes — fuel purchases, fuel cards and claims are reconciled to vehicles, trips and cost centres.

Does it handle maintenance and tyres?

Yes — work orders, maintenance history, tyres and consumables are tracked against the vehicle.

How is cost per km calculated?

The module combines fuel, maintenance, tyres, insurance and other vehicle costs with odometer data to produce cost per kilometre and utilisation.

Is it multi-site and multi-vehicle-class?

Yes — vehicles, sites and classes can be modelled separately with consolidated reporting.

Can it integrate with leasing?

Yes — fleet and leasing share the same asset and finance core, so leased vehicles can be managed end to end.

Can we migrate our fleet register?

Yes — vehicles, drivers, opening odometer readings, maintenance history and balances are migrated and reconciled.

Does it support ZATCA?

Yes — fuel and maintenance invoicing is handled inside Finalytics ERP, with ZATCA-compliant output where required.

How long does implementation take?

It depends on fleet size, integrations and data quality. We scope it after a short audit and give you a dated plan.
