The pain point

Levene Energy Group had already implemented ERPNext. The group engaged us to independently review the system's efficiency, walk through the key modules, identify observations and recommend improvements.

  • The group needed an independent view of whether the implementation was operating as intended.
  • Procurement, expense, finance and production controls had gaps that could be bypassed.
  • Payments were processed outside ERPNext, creating visibility and completeness risk.
  • Budgeting, asset management and HR & payroll were not implemented; cost centres were not in use.
  • Reporting needed to be tailored to the group's operating model.

Our independent assessment

We reviewed the live ERPNext system across procurement and vendor management, employee advances and expense claims, finance and payment processing, inventory and production, sales and CRM, and reporting.

Finding
Procurement approvals and supplier controls could be bypassed.
Implication
RFQs and POs could be raised outside policy; supplier data lacked validation.
Finding
Expense approvals lacked value-based routing, limits and advance visibility.
Implication
Small transactions escalated to the CFO while overdue advances went untracked.
Finding
Payments were processed outside ERPNext with no formal workflow.
Implication
Payments could be missed; duplicate and foreign-currency risks were not controlled.
Finding
Production controls were incomplete.
Implication
Work orders could be created without sales orders, quantities could be manipulated, and inspection/QC gates were not enforced.
Finding
Sales pricing, tax and quotation approvals lacked system controls.
Implication
Pricing discipline and financial oversight depended on manual review.
Finding
Budgeting, asset management and HR & payroll were not implemented.
Implication
The group lacked cost-centre budgeting, asset tracking and integrated payroll.

What we proposed

We delivered an independent review report with evidence-based findings and a prioritized set of recommendations across controls, process, reporting and missing modules.

Control remediation

Server-side validations, workflow enforcement, permission reviews and mandatory-field checks.

Finance & payment controls

Payments inside ERPNext, withholding-tax timing, duplicate prevention and FX accounting.

Procurement controls

Vendor validation, supplier price lists, RFQ/PO approvals and minimum-quotation rules.

Production & quality

Sales-order linkage, quantity validation, inspection gates, QC and work-order ageing.

Reporting roadmap

Sales, profitability, audit, manufacturing and future-ready reports tailored to the group.

Missing modules

Budgeting with cost centres, asset management and HR & payroll.

How it resolved the pain

The group received a single, evidence-based view of the implementation, the control gaps and a prioritized remediation roadmap.

  • Key modules were walked through and documented.
  • Control gaps were identified with practical recommendations.
  • Missing modules and reporting needs were mapped.
  • The group had a clear sequence for remediation.
